Re: 1999 Spring Meeting: May 23 May 26, 1999, Charlotte, NC
Dear ICC Members and Guests:
With this letter I cordially invite you to the 105th meeting of the Insulated Conductors Committee Meeting. The meeting will be held at the Hilton Hotel in Charlotte, North Carolina, USA. I look forward to working with all of you as we visit for the first time the city of Charlotte, home to world-renowned automobile racing.
If you plan to attend the meeting, PLEASE READ THIS ENTIRE LETTER. It is four pages long but it is packed with new and useful information on registration, presentations and more. Remember that we have a new meeting format. By all accounts, the new schedule used at the Fall 98 meeting in St. Petersburg, FL was a success. Thus, we have officially restructured the ICC to accommodate this new format.
The room rate for the Hilton Hotel is $129.00 US single or double. Call (704) 377-1500 to make your reservations. Make them as soon as possible! There are two auto racing events which take place at the Charlotte Motor Speedway immediately before and after our meeting so hotel rooms may be hard to come by. The cutoff date for room reservations is April 23, 1999. The ICC is committed to a minimum occupancy in order to avoid a charge for meeting rooms. So please use the official hotel for your accommodations to help us meet this requirement.
Special air fare and car rental rates and other information:
Airline: Delta is the official meeting airline. To take advantage of their special rates, call 1-800-241-6760 or your travel agent. Refer to File No. 127506A.
Car Rental: Avis is the official meeting car rental company. To take advantage of their special rates, call 1-800-331-1600 and refer to Discount No. A606098.
Hotel Parking: If you are staying at the Hilton, parking is $14/day. If not, it is $18/day. (I know - thats expensive, but the Hotel does not own the parking lot.)
Airport Trans.: The Hotel recommends Carolina Transportation: $8 one way
Charlotte is a great, new southern city with lots to do and see. Information about Charlotte and the Hilton Hotel can be accessed from the Spring 1999 Meeting page. At this time of year, the weather in Charlotte is generally very pleasant. You may even want to bring a pair of shorts.
The official dress code of the ICC is "business casual" for all meeting events. Leave your coats and ties at home - unless you just cant help yourself.
As usual, there is a program for spouses - please see the attached letter that describes the program details.
Meeting registration forms are included in this mailing. You can also obtain one from the ICC WEB page. Important registration tips are:
Preregistering saves you money if we receive the form and payment from domestic attendees by the deadline! Late payments will be returned! Preregistering also helps us better plan the meeting.
As a courtesy to international members and guests, you can pay the registration fee on site at preregistration rates if you fax or mail your registration form by the deadline.
Please bring a check for US funds or cash, we do not accept credit card payments.
Other meeting tips are shown below.
If this is your first meeting or you want to learn more about the ICC, please attend the Orientation Session on Sunday afternoon. There are many different sessions at ICC meetings that cover a multitude of subjects related to insulated conductors. Information presented at Orientation will help you find the sessions of interest to you.
If you are a Working Group or Subcommittee Chair or Vice Chair, please plan to attend the All Chairs meeting on Monday morning at 7:00 am.
All meeting attendees are encouraged to attend the Opening Session on Monday morning at 8:00 am. During this session you will learn about last minute changes and special activities which will take place during the meeting. You will also see your fellow ICC members receive awards for accomplishments made throughout the year. Mr. E. O. Ferrall, Senior Vice President, Duke Power Company will serve as our special speaker for this session.
On Wednesday afternoon, we will have an Educational Program. The subject is Cable Accessories Applicable IEEE Standards and Failure Analysis Techniques. The program will cover the basic requirements of IEEE 404 on cable joints, IEEE 48 on cable terminations and IEEE 386 on separable connectors. It will also include a primer on how to analyze accessory failures.
Technical presentations are the heart and soul of ICC meetings. We welcome presentations on all topics within the scope of the ICC as long as they are of a technical nature and not overtly commercial. I particularly want to encourage those of you who have recently written a transactions paper on a cable related subject to make a presentation on your paper at an ICC meeting.
If you would like to make a presentation, please see the presentation guidelines below:
Contact the appropriate Subcommittee Co-Chairs by April 30, 1999. We request that you also provide a 100 word abstract with the authors name, contact information and a brief description (After reviewing the scope of each of the four Technical Subcommittees as shown below, please contact one of appropriate Subcommittee Chairman. The email address of each co-chair is included with the Subcommittee scopes).
If possible, a paper (< 3 pages) describing your presentation should also be submitted to the Subcommittee Chair during or shortly after the meeting. It will be published in the ICC meeting minutes. You are also encouraged to provide the paper at your presentation session. A paper is not mandatory but it increases the value of your presentation to the membership.
Make slides and overheads clear and concise. Less is almost always better! Use LARGE FONTS!
Check out the audio-visual equipment in advance. Locate the microphone and the projector switches before you make your presentation.
Leave out commercialism. Company names and logos are allowed on the first slide only!
Microsoft PowerPoint presentations are encouraged. We will provide an SVGA projector and a computer with a 3.5 inch floppy drive and a zip drive. Plan to preload your presentation on our computer. It will be available Sunday afternoon as well as Monday, Tuesday and Wednesday mornings. This will help us avoid interruptions during the meeting.
The list of presentations for the Spring 1999 Meeting will be posted on the ICC WEB Page.
Please note that the schedule for this meeting is very different from the past.
What are the changes?
- The usual 13 technical subcommittee meetings have been collapsed into four, large Subcommittees.
- Most presentations will take place in one of the four Subcommittee meetings.
- Subcommittees meetings will not overlap. Working Groups will focus on the development of standards or guides. Discussion Groups will focus on the assessment of new technologies or other relevant, hot topics.

It also gives meeting attendees the chance to see the products and services that could help them do their job. An application form is available from the ICC WEB page for those who are interested. A list of TableTop Expo participants will be posted on the ICC WEB page as companies submit their application forms.
If you have any questions or comments, please send me an email at r.hartlein@ieee.org Dont forget to check out the ICC WEB page for the latest information on the spring meeting - including a list of presentations that will occur during the Subcommittee meetings.
